Working Pattern: Part time - 15 hours per week, although variable working hours may be available. 

Reports to: Head of Operations 

Salary: £10,400 p/a

Summary 

The Association of Costs Lawyer Training (ACLT) is the leading provider of professional qualifications for Costs Lawyers in England and Wales. Our curriculum is delivered online and is accredited by the Costs Lawyer Standards Board. In September 2023, ACLT launched the new Costs Lawyer Professional Qualification (CLPQ). To support the growing student numbers studying on the new qualification, ACLT is looking to recruit an experienced Course Coordinator to join our team.  

Reporting to the Head of Operations, the Course Coordinator acts as the first point of contact for students and academic staff, providing initial guidance and escalating enquiries as needed. They play a crucial role in supporting the delivery of education programmes, ensuring efficient operations across the academic year and students' lifecycle. This includes coordinating the delivery of teaching and learning through the Online Learning Environment (OLE) and managing all aspects of the ACLT Registry to ensure seamless course operations and student experience.  

The Course Coordinator provides high-quality administrative support for ACLT education programmes and develops a thorough understanding of ACLT processes and regulations. They will communicate and collaborate with key stakeholders, including students, tutors, and employers. Additionally, they contribute to the forward planning of ACLT education programmes, supporting continuous review and enhancement of existing systems and processes. The ideal candidate will possess strong communication skills, a proactive approach, and keen attention to detail to ensure a smooth educational journey for ACLT students. 

ACLT has outsourced its education operations to Hook Tangaza (www.hooktangaza.com) and the successful candidate will be employed by Hook Tangaza alongside other members of the ACLT team.

Registry and Course Coordination 

Coordinate all aspects of the admissions cycle and maintain accurate records. 

  • Coordinate enrolment processes: updating our student information system (SIS) with enrolled student data and enrolling students onto relevant modules and tutor groups within our online learning environment, Canvas. 

  • Support the Head of Operations and other academic staff with planning of course delivery e.g., updating academic calendar/timetabling information and planning tutor groups. 

  • Support the Head of Operations and other academic staff in uploading and maintaining course content on the online learning environment. 

  • Support the Head of Operations in maintaining accurate records for tutors, assessors and external examiners on ACLT systems. 
  • Ensure comprehensive student records and files are maintained and data retention processes are followed on all ACLT systems, observing GDPR.  
  • Lead attendance monitoring process and escalate to senior colleagues as necessary. 
  • Deal effectively and efficiently with enquiries from students, liaising with senior staff, tutors, examiners and external partners as necessary. 
  • Provide support for quality assurance and student feedback activities. 
  • Provide admissions, enrolments, attendance and completion data as requested to enable analysis and interpretation. 

Assessment 

  • Coordinate the safe and secure administration of all online exams, including confirming dates, candidates, and exam papers with the online testing platform, TestReach in accordance with ACLT assessment regulations. 
  • Ensure the timely and accurate module assessment publication on the online learning environment, Canvas. 

  • Prepare marking and moderation documentation to ensure timely and accurate marking, moderation, and external examining of assessments and examinations, in accordance with assessment timeframes, liaising with Head of Operations and academic team as appropriate. 

  • Ensure assessment and examinations data is entered into the SIS and Canvas in an accurate and timely fashion. 

  • Distribute assessment and examination results to students within agreed timeframes. 

  • Ensure our relevant partners (CLSB, ACL) are informed and provided with the necessary data on student qualification. 

Student Support and Communications 

  • Support Head of Operations as first point of contact for all prospective and current student queries in a helpful, friendly and timely way, referring relevant queries to senior colleagues as appropriate. 
  • Provide initial guidance on, and processing applications for, relevant procedures and processes including learning support agreements, extensions, deferrals and course postponements and withdrawals with reference to the correct regulations, escalating as necessary. 

  • Send welcome and induction materials / communications to students. 

  • Respond to and/or escalating student feedback/complaints, ensuring a high level of customer service. 

Finance  

  • Liaise with the Head of Operations and the Association of Cost Lawyers to ensure all student fees, 3rd party invoices and academic staff fees are authorised and processed in a timely manner.
